Virtual Executive Assistant – Real Estate Development
Job Description
We are seeking a Virtual Executive Assistant to support a fast-growing real estate development startup. As a Virtual Executive Assistant, you will: • Manage the CEO’s calendar and daily priorities across time zones. • Coordinate travel logistics, including flights and accommodations. • Organize internal and external meetings. • Handle professional and personal administrative tasks for the CEO. • Align the CEO’s schedule with company priorities. • Act as the central operational coordinator for key tasks. • Track company priorities and deadlines. • Follow up with team members to ensure commitments are met. • Identify and escalate blockers to leadership. • Maintain operational visibility for team alignment. • Optimize the company’s Notion workspace. • Track project updates and task ownership. • Ensure accountability by monitoring deliverables. • Keep documentation updated. • Support the CEO in maintaining an operational dashboard. • Manage meeting documentation and convert discussions into tasks. • Capture action items during Zoom meetings. • Brief the CEO on takeaways and next steps. • Facilitate team access to the CEO for decisions. • Assist with onboarding logistics. • Support operational improvements.
Qualifications
To be successful as a Virtual Executive Assistant, you should possess: 1. 3+ years of experience in executive assistance or operations coordination. 2. Proven experience in managing executive calendars and travel logistics. 3. Exceptional organizational skills and the ability to manage multiple priorities. 4. Excellent written and spoken English communication skills. 5. Professional demeanor and ability to interact with senior leadership. 6. Proactive and solutions-oriented mindset. 7. Comfort managing up and ensuring accountability. 8. High attention to detail. 9. Confident participation in meetings. 10. Experience supporting founders in startups. 11. Prior experience in real estate development environments. 12. Familiarity with knowledge management systems. 13. Experience with AI productivity tools. 14. Background in project coordination roles.
