Operations Coordinator

Job Description

Provide everyday assistance to the Head of Small Clubs, including scheduling and calendar management. Support the candidate interview process for open operations positions by managing travel bookings and creating schedules. Handle monthly expenses and process invoices for the Head of Small Clubs. Organize and report on social media reviews using Reputology. Develop PowerPoint presentations for potential partners and external third parties. Aid in new menu rollouts, manage mandate lists, and monitor venue progress for the F&B Team. Maintain and update organizational charts and contact information. Prepare weekly reports on upcoming shows and events. Collect and organize venue information to support future opportunities in sponsorship, marketing, and operations. Offer additional project assistance to various departments as required.

Qualifications

1. Possess 1-2 years of administrative experience in a fast-paced environment. 2. Experience in supporting executives is highly desirable. 3. Experience in multi-unit operations or hospitality is a plus. 4. Demonstrate a strong passion for hospitality and operations. 5. Exhibit excellent verbal and written communication skills and proper phone etiquette. 6. Demonstrate strong computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint). 7. Previous experience with expense applications like Concur is beneficial. 8. Engage positively with coworkers, executives, and high-level professionals. 9. Foresee and resolve problems, follow up, communicate effectively, and handle sensitive situations tactfully. 10. Be organized, detail-oriented, self-motivated, and capable of managing projects with tight deadlines. 11. Proficient typing skills are essential (60 wpm). 12. A college degree is required.
