Intern, Program Administration – Support

Job Description

This team is looking to fill two intern positions, each dedicated to supporting various projects. These projects focus on crucial areas such as Certified Community Behavioral Health Centers (CCBHCs), initiatives to bolster the behavioral health workforce, and addressing disparities related to tobacco and cancer among individuals facing mental health challenges. Responsibilities may include: Meeting Coordination & Support: - Scheduling meetings and events using Outlook for both internal and external teams. - Managing logistics for meetings and events, setting up virtual meetings using Zoom and Microsoft Teams. - Providing logistical and administrative support during virtual meetings, including screen sharing, managing breakout rooms, and monitoring chat boxes. - Assisting with meeting preparation and follow-up, such as distributing agendas and materials beforehand, and tracking action items afterward. Technical Assistance: - Contributing to the development of technical assistance activities and resources, such as virtual events or resource materials. - Tracking and monitoring technical assistance activities, including attendance, attendee satisfaction, and other metrics for reporting purposes. Program Administration: - Supporting data entry processes, including entering candidate information into tracking systems and ensuring data accuracy across all platforms. - Monitoring milestone progress throughout the candidate onboarding process, maintaining internal dashboards, and flagging any outstanding issues or discrepancies. - Preparing, organizing, and maintaining internal finance-related documentation, including invoice tracking logs, purchase records, and budget-related documents. Other project tasks as assigned.

Qualifications

1. Must be a current student (completed at least two full-time years of undergraduate study) or a recent graduate (within the last six months) in an undergraduate or graduate program. 2. Must possess demonstrated organizational, project, and time management skills, with the ability to handle multiple projects concurrently. 3. Must have demonstrated written and verbal communication skills, with strong attention to detail and proofreading skills. 4. Experience with Zoom, Microsoft Office, and AI note-taking and summarizing tools is preferred. 5. Experience in public health, social work, health care administration, mental health, and substance use services or related fields is desirable. 6. Must be authorized to work in the United States.
