Finance Manager – Ecommerce Agency
Job Description
Take charge of the weekly Profit and Loss (P&L) management, ensuring meticulous recording and timely updates for all income and expenses. Conduct weekly reconciliation within Xero, adeptly matching transactions and promptly resolving discrepancies to prevent compounding issues. Prepare and dispatch client invoices punctually, proactively following up in a professional manner until payments are secured. Generate and distribute candidate invoices, collaborating with the Talent Acquisition team to guarantee billing precision. Proactively manage payment follow-ups across all outstanding invoices, ensuring comprehensive oversight. Oversee and manage financial inboxes, efficiently triaging emails and responding or escalating with both urgency and accuracy. Monitor all incoming and outgoing payments, swiftly identifying anomalies and promptly communicating them to leadership. Maintain well-organized records within Xero and supporting tools like Airtable, ClickUp, and Notion. Coordinate with Customer Success and Talent Acquisition teams to align billing with active placements and contracts. Generate weekly financial snapshots and detailed summary reports for internal review. Take initiative in identifying cash flow risks, overdue accounts, and irregularities, promptly alerting leadership without waiting for inquiry.
Qualifications
1. Excellent written and verbal English communication skills for professional interactions across various channels. 2. Demonstrated proficiency with Xero is essential. 3. Extreme attention to detail, ensuring all numbers are always balanced and accurate. 4. Prior experience in managing invoicing processes, accounts receivable, and financial reconciliations. 5. Ability to effectively manage multiple financial tasks and deadlines without compromising accuracy. 6. Highly organized with strong inbox management and task management skills. 7. Exercise discretion and trustworthiness when dealing with sensitive financial data. 8. Comfortable working remotely in a dynamic, lean team setting. 9. Availability during European business hours (CET). 10. A background in finance, accounting, bookkeeping, or related fields is highly advantageous.
