Executive Assistant
Job Description
Join Zirtual as a Virtual Assistant, the primary contact for our clients. Provide excellent administrative and operational support, handling diverse tasks and projects promptly and to a high standard. Maintain open communication with clients and supervisors. You'll handle project management, calendar scheduling, purchasing, email, social media, and meeting support. Proactively address tasks, provide weekly usage reports, maintain precise client profiles, and collaborate with supervisors as needed. Be open to feedback to enhance task quality and time management.
Qualifications
1. Native French speaker with strong written and verbal communication skills; English reading and working proficiency required. 2. Strong organizational, prioritization, and multitasking skills. 3. Professional, proactive, and reliable communication style. 4. Ability to quickly learn and adapt to new tools and software. 5. Meticulous attention to detail and ability to handle complex tasks. 6. Comfortable working in a fast-paced environment and managing multiple priorities. 7. Strong interpersonal skills and ability to build effective working relationships. 8. Positive, collaborative, and enthusiastic team attitude. 9. Minimum of 3 years of experience in administrative support, executive assistance, or operations support. 10. Proficiency with office suites such as Google Workspace (Gmail, Calendar, Docs) and Microsoft Office. 11. Proficiency with task management tools such as Asana, Trello, or Notion. 12. Preferred experience with communication tools such as Slack. 13. Preferred experience with CRM tools such as HubSpot, Salesforce, or Zoho. 14. Preferred experience with expense management tools such as Spendesk, Pennylane, or Qonto. 15. Preferred experience with travel management tools. 16. Preferred experience with social media/website tools such as WordPress. 17. Nice-to-have: experience with HR/payroll/employee benefits tools such as Payfit and Swile. 18. Reliable high-speed internet connection. 19. A personal computer capable of supporting remote work. 20. Strong general computer and internet skills, with the ability to quickly adapt to new tools and software. 21. Virtual Assistants are expected to be available during standard Central European Time (CET) business hours, Monday to Friday.
