Executive Assistant to CEO – Managing Attorney

Job Description

Provide key support to the CEO and Managing Attorney. Handle and prioritize the CEO's Gmail inbox, including triaging, labeling, drafting, and following up. Organize complex scheduling through Google Calendar, managing professional and personal commitments. Arrange meetings, travel, logistics, and related preparation. Develop briefing documents, meeting agendas, notes, and follow-up summaries using Google Docs. Manage personal administrative tasks with discretion and professionalism. Protect executive time by anticipating needs, removing friction, and proactively planning. Support day-to-day business operations and cross-functional coordination. Support with project and workflow tracking using Asana or similar platforms.

Qualifications

1. Minimum of 3 years’ experience as an Executive Assistant, Personal Assistant, or Operations Assistant. 2. Advanced proficiency in Google Workspace, including Gmail, Calendar, Drive, Docs, Sheets, and Meet. 3. Excellent written and verbal communication skills with a polished style. 4. Strong organizational, prioritization, and project coordination abilities. 5. Proven ability to work in a fast-paced, deadline-driven environment. 6. High levels of discretion, integrity, emotional intelligence, and sound judgement. 7. Experience creating, following, and improving SOPs. 8. Comfortable using tools like Asana, Clio, QuickBooks Online, Bill.com, Loom, ChatGPT, Claude, Gamma, and AI note-taking tools. 9. Previous experience in a legal, professional services, or founder-led business environment is advantageous. 10. Must have a reliable laptop, stable internet connection, and a professional working environment. 11. A backup power solution is strongly preferred.
