Coordinating Center Associate – Customer Service Support

Job Description

As a Coordinating Center Associate at UBC, you will: - Provide consistent customer service support to all stakeholders for assigned programs. - Handle inbound and outbound contacts from patients, healthcare providers, etc. - Maintain working knowledge of program guidelines, medication, or disease. - Communicate via phone, fax, and email to retrieve data and address discrepancies. - Complete follow-ups for missing information, including data entry, documentation, and safety reporting. - Apply corrections and updates in secured program applications and CTMS. - Escalate potential problems with detailed summaries to your supervisor. - Document all communications accurately and timely in the application contact log. - Assist in recruiting or initiating sites and coordinate launch activities. - Ensure all assigned project tasks are completed. - Provide new and updated training materials as needed. - Ensure program compliance duties are completed, including re-education, documentation, and follow-up. - Prepare program compliance materials for client meetings. - Manage preparation and shipping of program materials, documenting actions. - Handle processing of honorariums. - Review documents for program standards and take appropriate action. - Ensure accurate and timely data entry, filing, and confirmation. - Perform other duties as assigned by management and UBC SOPs.

Qualifications

To succeed as a Coordinating Center Associate, you will need: 1. High School Graduate; some college preferred 2. 3+ years of relevant experience 3. Customer service experience preferred 4. Proficiency in multitasking and prioritizing tasks 5. Proficiency with Microsoft Office 6. Excellent written and verbal communication skills 7. Ability to work on complex or multiple programs requiring critical thought 8. Ability to adapt in a dynamic work environment 9. Ability to maintain accurate information and make decisions with minimal supervision 10. Ability to work a flexible schedule that could include 24/7 on-call coverage shifts
