Accounts Receivable Administrative Assistant

Job Description

We are looking for an Accounts Receivable Administrative Assistant to support our team. This role involves: 1. Identifying customers requiring follow-up. 2. Sending scripted follow-up emails to prompt payments. 3. Addressing and resolving payment-related questions and concerns. 4. Investigating invoice discrepancies and thoroughly reviewing payment history. 5. Verifying ACH payments, checks, and overall payment status. 6. Managing and tracking purchase orders (POs) efficiently. 7. Updating and maintaining CRM records accurately. 8. Conducting research into payment history for detailed analysis. 9. Monitoring and tracking invoice status to ensure timely processing. 10. Maintaining precise notes and documentation for all transactions. 11. Assisting with ad-hoc tasks as needed to support team objectives.

Qualifications

We need someone with: 1. At least 1 year of administrative experience supporting US-based clients. 2. Experience in Accounts Receivable is highly preferred. 3. A minimum of 1 year of experience in email follow-up and customer outreach. 4. Familiarity with CRM systems (Vonigo CRM experience is a significant plus). 5. A foundational understanding of accounts receivable terminology, including invoices, ACH payments, checks, and purchase orders. 6. Excellent written and verbal English communication skills are essential.
